Vixul Inc (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and disclose information through our website, services, events, and any other interactions with you. By accessing or using our services you agree to the practices described below.

Use of the Vixul application — including Brand Manager, Content Studio, and other authenticated tools accessed through your Vixul account — is also governed by our Platform Terms.

1. Information We Collect

Personal Information

When you interact with us directly — for example by filling out a form, subscribing to our newsletter, or contacting our team — we may collect your name, email address, phone number, company name, and job title.

Event Registration Information

If you register for one of our events, we may collect additional details such as dietary or accessibility requirements, session preferences, and post-event feedback.

Account Information

When you sign in to our application, we collect identifiers from your identity provider (such as name, email, and a unique account ID) and information about your access level.

Content You Provide

Content you create or upload through our application, such as drafts, prompts, references, brand assets, and uploaded files.

Event Photography and Biometric Data

We photograph attendees at our events. We process those images to recognise faces so we can tag and organise photos by individual. This processing generates biometric identifiers (face templates derived from your image). See “How We Use Your Information” and “How We Share Your Information” below for what we do and do not do with this data, and “Your Rights” for how to opt out of being tagged.

Usage Data

We automatically collect certain technical information when you visit our website, including your IP address, browser type, pages visited, referring URL, approximate geographic location, and the date and time of each visit.

Cookies and Tracking Technologies

We use cookies — small data files stored on your device — to understand how you use our site and to improve its functionality. You can manage your cookie preferences through your browser settings. For full details on the cookies we use, see our Cookie Policy.

Google Analytics

We use Google Analytics to analyse visitor behaviour on our website. Google Analytics collects information such as your IP address, device information, and browsing patterns. For more details, see Google’s Privacy Policy.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain our services
  • Send newsletters, updates, and promotional communications (you can opt out at any time)
  • Manage event registrations and logistics
  • Photograph attendees at our events and process those images — including by using third-party cloud-based processors acting on our behalf — to recognise faces and tag individuals across event galleries
  • Authenticate users, manage sessions, and determine which tools and content each user can access
  • Process content you create through third-party cloud-based processors acting on our behalf, in order to deliver the features you invoke
  • Measure how our application and its features are used to diagnose issues and improve the platform
  • Benchmark usage and outcomes across customers, in aggregate and de-identified form, so we can surface comparative insights
  • Analyse website usage and improve our content and features
  • Conduct marketing research and audience analysis
  • Comply with applicable legal obligations

3. How We Share Your Information

We do not sell or rent your personal information to third parties. We may share information with:

  • Service providers who assist us in operating our website, processing data, or delivering services
  • Business partners collaborating with us on programs or initiatives
  • Event co-hosts involved in coordinating events you attend
  • Analytics providers such as Google Analytics for website traffic analysis
  • Legal authorities when required by law or to protect our rights

Event Photos and Biometric Data

We may share photos taken at our events on social media and other public channels to promote Vixul and the events themselves. We use biometric data (face templates) only internally, to help us tag photos by individual and provide individuals with their photos. We do not share, sell, license, or otherwise disclose your biometric information to any third party.

Content You Provide

We do not share, sell, or use content you create in our application to train third-party AI models. Content is processed only to deliver the feature you invoked, and only with processors bound by contract to act on our behalf.

Aggregate Benchmarks

We may show de-identified, aggregated usage and outcome metrics across customers as part of benchmarking features. Benchmarks are computed over groups large enough that no individual customer, user, or piece of content can be identified from them, and we do not expose raw data, customer-level metrics, or content from one customer to another. Benchmarking is a core part of our application: comparative insights only work if every customer’s usage contributes to the aggregate, so it is not separately optional.

4. Data Security

We take reasonable measures to protect your personal information from unauthorised access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

5. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Access — request a copy of the personal information we hold about you
  • Correction — request that we correct any inaccurate or incomplete data
  • Deletion — request that we delete your personal information, subject to legal retention requirements
  • Objection — object to certain types of processing under applicable law
  • Do Not Tag (event photos) — request that we stop tagging you in event photos. We will remove your name and contact details from our tagging records. We will retain some biometric information to prevent future tagging.

8. Children’s Privacy

Our services and events are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us so we can promptly delete it.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will post the revised version on this page and update the effective date. We encourage you to review this policy periodically.
